Our AI team · as of October 2026

Seven AI employees. One org chart.

This is the AI team that runs the back office of our own construction companies — a siding contractor and a home builder. Each one has a job description, a boss, a work log, and a list of things it never does without a person's yes.

7AI employees on the job — and a sales manager we're hiring now.
23duties live today. Four more are in production and twelve are planned.
0dollars moved by an AI. Money, bank details and approvals stay with people.
The org chart

Built like a company, not a chatbot.

Every request lands with the Chief of Staff, who hands it to the employee that owns it. Each employee reports up, logs every task, and gets graded against its own job description.

Chief of Staff

Every request lands here first. It routes the work to the right employee, runs the owners' inbox, keeps the field team in the loop, and grades the rest of the AI team.

  • Request routing LiveNames the employee and duty that own any request — or says plainly that nobody does yet.
  • Hourly owner update LiveBoth owners' inboxes, the shared inboxes and the team's open questions, in one Teams card with buttons.
  • On-demand inbox pass LiveSorts new mail and Teams messages and drafts every reply for review.
  • What's open right now LiveOne short list, needs-you first, from every employee's work log.
  • Production-call sweep LiveAfter the twice-weekly production call: the summary, each person's action items, and a draft note for the field.
  • Owner follow-ups LiveAt 4pm, everything waiting on the owner — open questions and unmerged changes — as cards to act on.
  • Team inspection LiveGrades each employee against its job description: on time, inside its authority, rules followed.
  • Improvement proposals LiveTurns what the inspection finds into written fixes. The owner approves; a reviewed change makes it.

Neversends anything outside the company without the owner's yes. The one thing it sends on its own is a plain “got it, thanks.”

Project Manager

An AI project manager that runs siding jobs in JobTread from new lot to invoice. The crew still calls her by her first name, Robyn.

  • New job intake LivePulls new lots off three builder portals, builds each job from the community's master bid, and attaches the plans.
  • Purchase orders LiveDrafts and edits POs at each vendor's own pricing — by voice, from the truck.
  • Change orders LiveBuilds the change order in the budget and sends it to the builder's super after one preview.
  • Close-out and billing LiveWork reported done becomes a pending sub bill and a draft invoice behind one approval.
  • Budget review LiveRead-only. Separates real overruns from bookkeeping noise that only looks like lost margin.
  • Nightly to-do sweep LiveWorks the field's to-dos overnight and asks on the to-do when it can't finish one.
  • JobTread pricing PlannedUpkeep of the cost catalog's items and prices.

Neversends a PO or change order without the requester's word. Extra material over a set dollar limit waits for the owner.

Estimator

An AI estimator that turns plan sets, Hover reports and addresses into numbers: bids, budgets and the land math.

  • Siding bids LiveHardie siding takeoffs from plan sets or Hover reports, ready to import into JobTread.
  • Homeowner estimates LiveResides, remodels and additions — the budget, a draft proposal and the scope of work.
  • Lot underwriting LiveAn address in; zoning, sold comps, the full cost stack, profit and cash-on-cash out.
  • New-home estimates PlannedA full new-construction estimate, start to finish.

The underwriting tool is on the Work page as the Land Analyzer.

Neversends a bid on its own — a person sends every one, and the buy-or-pass call on land stays with the owner.

Admin Manager

Keeps subcontractor paperwork current and the field scheduled.

  • Sub compliance LiveFiles certificates of insurance, W-9s and contracts from the office inbox onto the vendor in JobTread, chases what's missing or expiring each week, and builds the workers' comp and liability audit package.
  • Site-visit scheduling LiveName the job and the reason; it leaves a to-do on the job and sends the calendar invite.
  • Manufacturer rebates PlannedClaiming the siding manufacturer's rebates and programs.
  • File organization PlannedCompany files and folders, kept where people expect them.
  • AI receptionist PlannedAnswering the phone.
  • HR PlannedThe human-resources desk.

Nevermarks a deficient or expired certificate as good, and sends nothing but one request and one follow-up per missing document.

Accounting Manager

Works for the CFO as well as the owner. Today it chases change orders until they're signed; the money duties are being built behind it.

  • Change-order follow-up LiveGets every drafted change order to the right person at the builder, follows up every five days until it's signed, and reports where they all stand every Friday.
  • Sub pay prep In productionPrepares the pay run for a person to approve and release.
  • Card reconciliation In productionReconciling the company credit cards.
  • Recurring payments In productionKeeps the schedule of recurring payments straight.

Why the money line is drawn where it is: the email that changes a vendor's bank account.

Nevermoves money, changes bank or payment details, or approves a bill. No future duty loosens that.

Marketing Manager

Reads the website numbers every week and acts on them.

  • Website and analytics LiveReads the weekly analytics report for the home builder's site and ships the small SEO fixes itself — titles, descriptions, sitemap, structured data.
  • Monthly blog posts In productionPlanning and publishing the blog.
  • Social media PlannedPosting and the content calendar.
  • Advertising PlannedCampaigns, budgets and targeting.

Neverpublishes page copy, a post or an ad without the owner's yes. Small SEO fixes are the one standing exception.

  • CRM upkeep PlannedKeeping the JobTread CRM current.
  • Lead follow-up PlannedFollowing up on stale leads.
  • Sales pitch PlannedHoning the pitch.
Built to code

The rules every one of them works under.

An AI employee is only as good as the job description it works from. These five hold for the whole team.

1

A written job description

Duties, the systems it may touch, who it reports to, and a Never list.

2

Drafts first

Anything that leaves the company waits for a person's yes, unless the owner approved that exact send ahead of time.

3

People hold the money

No AI moves money, changes bank details or approves a payment.

4

A log after every task

What was asked, what was done, what's left open — and the Chief of Staff grades it.

5

Every change reviewed

Job descriptions and procedures are versioned. A change ships as a reviewed update, never a quiet edit.

Questions

What people ask about it.

What is an AI employee?

An AI agent with a job description: a list of duties it owns, the systems it may read and write, who it reports to, and a Never list of things it may not do. It does the work inside the software the company already uses and writes a work log after every task.

Do they send anything on their own?

Almost never. Drafts are the default. Anything that leaves the company — an email, a bid, a change order, a published page — needs a person's yes, except a short list of sends the owner approved ahead of time, such as a plain acknowledgment email. None of them can move money or change bank details.

What software do they work in?

The tools the companies already ran on: JobTread for jobs, budgets and purchase orders; Microsoft 365 for Outlook and Teams; the builders' own portals; and GitHub, where every job description and procedure is versioned. The agents are built on Claude.

Can you build an AI team for my company?

Yes. We start with Discovery — mapping how the work really flows — then design the first AI employee around the job that costs you the most hours, teach your team to run it, and build it with you. One employee and one duty at a time, the same way we built ours.
